Documenta archiv transitions to Alma and Primo

Documenta archiv is fundamental to documenting, archiving and researching modern and contemporary art in Germany. The holdings in the library are focused on exhibitions and its participating artists, exhibition catalogues and other relevant literature and periodicals. Its collection of sources and documentation is perpetually expanding, and the library aims to further expand its collection, which currently consists of 150,000 items.

The team were keen to implement a system with strong support and knowledge bases, an intuitive discovery service and a system that allowed for further development of services. It was particularly important to move to a system that could manage open access electronic collections and sandbox access. documenta archiv chose to transition to Alma and Primo to improve collections visibility and streamline processes. As a result of this change, workflows were developed using the Sets and Jobs services in Alma to streamline their data processes. Special collections visibility was enhanced with the Primo display configuration.
Using the community zone alongside DACHLEA, the organization for Ex Libris users in Germany, Austria, Switzerland and Liechtenstein, they were able to share and study knowledge
from other users in German speaking countries to further improve their processes.
Support was provided from the beginning of implementation, with a team from Ex Libris dedicated to educating staff at documenta archiv on how best to utlize Alma. Requests were made promptly and thoroughly explored and tweaks were made to Alma at the library’s request.
After continuous use, staff at the library have enjoyed enhanced workflows, simplification of administration tasks, and quick access and response to client queries.
