The University of Tasmania (UTAS) has long been committed to providing seamless access to academic resources for its 21,000 students and staff. With seven physical library locations and a robust online presence, the institution recognized the need for a more integrated and efficient system to manage its extensive collections. This need led to the adoption of Ex Libris’ Alma library services platform and Primo library discovery service — transforming library operations and enhancing user experiences. 

 

A Unified Solution for Library Management – From Complexity to Simplicity 

Prior to the transition, the university relied on eleven different library software solutions, creating challenges in workflow efficiency and resource accessibility. With the implementation of Ex Libris Alma and Primo, the library has successfully consolidated these disparate systems into a unified, streamlined solution. The transition to a unified platform has brought several key benefits: 

  • A streamlined user experience – Single sign-on enables students and staff to access multiple services seamlessly. 
  • Integrated resource management – Print and electronic collections are now managed within a single system. 
  • Enhanced productivity – Optimized workflows have reduced manual processes and mitigated single-point dependencies within the library team. 
  • Stronger collaboration – UTAS library staff now engage with a broader network of institutions using Ex Libris solutions, aligning with 80% of Australian university libraries. 

Implementation: Challenges and Lessons 

The implementation process was guided by a dedicated Ex Libris implementation manager, ensuring structured progress through regular project meetings. While the transition required significant reliance on online training modules, the library team identified opportunities for improvement in training resources. Greater emphasis on interactive, vendor-led training sessions could further enhance learning outcomes and ensure that staff can maximize the system’s capabilities more efficiently. 

 

A Strong Partnership Moving Forward 

Post-implementation, the relationship with Ex Libris remains strong. Regular engagements with the Customer Success Manager have ensured a smooth transition, reinforcing a productive and professional partnership. The impact of the new system is already evident, with library staff noting that “Primo has made access to resources much easier for our patrons, evidenced by the increase in requests for our materials.” 

 

The University of Tasmania’s successful transition to Ex Libris Alma and Primo highlights the power of strategic system consolidation in modern academic libraries. By embracing innovation and fostering collaboration, the university continues to enhance its library services—delivering a seamless, efficient, and user-friendly experience for its students and staff.
